In layman&#8217;s terms, online file collaboration and sharing is how individuals send, receive, edit, and publish files through the internet. Previous methods of online file collaboration and sharing primarily use email and email attachments to transmit files to recipients.<\/p>\n<h2><span id=\"What_is_Wrong_with_Traditional_Online_File_Collaboration_and_Sharing\">What is Wrong with Traditional Online File Collaboration and Sharing?<\/span><\/h2>\n<p>Traditional methods of online file collaboration use email as the main means of communication. Files are sent to other individuals by attaching the file to emails. However, if the file requires editing, multiple files versions are constantly being collected, compiled and resent for further revisions. By the end of a single collaboration regarding editing a file, there can be dozens of versions and revisions filling inboxes and consuming valuable email storage space. Another common hindrance in sending attachments is size limits. Some email accounts barely have space for a Word document. Yet Google Drive&#8217;s single file size maximum of 5 <em>terabytes<\/em> (the equivalent to approximately 1, 500, 000 photos).\u00a0In addition, email attachments are incredibly insecure. Once an email with an attachment is sent, the recipients are able to forward the file to other parties. Sharing files through Google Drive addresses all these issues and provides features to control who has access to files through the internet.<\/p>\n<h1><span id=\"How_to_Share_Files_in_Google_Drive\">How to Share Files in Google Drive<\/span><\/h1>\n<ol>\n<li>Single click on the desired file, then click on the Share icon in Google Drive&#8217;s header.<br \/>\n<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/01-shareIcon.jpg?w=1280\"><img loading=\"lazy\" class=\"aligncenter\" style=\"width: 1280px; max-width: 1280px;\" title=\"01-shareIcon\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/01-shareIcon.jpg?w=1280\" alt=\"image\" width=\"1280\" height=\"416\" \/><\/a><br \/>\nNOTE: the Share button can also be found by right-clicking on the file.<\/li>\n<li>In the people field, type in the email address of the desired recipient. Alternatively, if the recipient is a contact in your Contacts, another option is typing in their name.<br \/>\n<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/02-popup.jpg?w=536\"><img loading=\"lazy\" class=\"aligncenter\" style=\"width: 536px; max-width: 536px;\" title=\"02-popup\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/02-popup.jpg?w=536\" alt=\"image\" width=\"536\" height=\"348\" \/><\/a><\/li>\n<li>In the drop down menu, select the appropriate permission level to grant the recipient:\n<ul>\n<li><em>Can edit<\/em> allows the recipient to share the file with additional parties and rename the file. If the file is a Google Doc, the recipient can edit the document. Parties with this permission also can perform tasks in subsequent permission levels.<\/li>\n<li><em>Can comment<\/em> allows the recipient to comment on and suggest changes to a Google Doc. Parties with this permission also can perform tasks in subsequent permission levels.<\/li>\n<li><em>Can view<\/em> allows users to download a copy of the file and print a copy of the file. In addition, if the recipient uses a Google account, they will be able to organize the file in their Google Drive.<br \/>\nNOTE: It is possible to prevent users from downloading our printing the file. If the recipient also uses a Google account, they will be able to organize the shared file in Google Drive. If you are the recipient of a shared file, click on\u00a0<em>Shared with me<\/em> in the sidebar (highlighted in red), click on the desired file (A), and then click on the\u00a0<em>Add to My Drive<\/em> icon (B). Else, only you will see the file in the folder.<\/p>\n<h1><span id=\"How_to_Change_and_Remove_User_Permissions_Invite_additional_Users_and_other_Advanced_Settings\">How to Change and Remove User Permissions, \u00a0Invite additional Users and other Advanced Settings<\/span><\/h1>\n<p>To view all permission settings of a file, single click on the desired file, then click on the Share icon in Google Drive&#8217;s header.<br \/>\n<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/07-goToAdvanced.jpg?w=537\"><img loading=\"lazy\" class=\"aligncenter\" style=\"width: 537px; max-width: 537px;\" title=\"07-goToAdvanced\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/07-goToAdvanced.jpg?w=537\" alt=\"image\" width=\"537\" height=\"261\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>The subsequent pop-up provides several additional features and settings for the file.\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/08-advancedSharing.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1691 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/08-advancedSharing.jpg\" alt=\"08-advancedSharing\" width=\"560\" height=\"660\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/08-advancedSharing.jpg 560w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/08-advancedSharing-255x300.jpg 255w\" sizes=\"(max-width: 560px) 100vw, 560px\" \/><\/a><\/p>\n<ol style=\"list-style-type: upper-alpha;\">\n<li><em>Link to Share<\/em>\u00a0provides a unique hyperlink for the file to send to users whom the file is shared with (in the event they deleted the email notification) or to publish if the file is publicly accessible.<\/li>\n<li><em>Social Media<\/em>\u00a0links to easily share the previously mentioned link to others.<\/li>\n<li><em>File\u00a0<\/em><i>Visibility<\/i> determines how easily accessible is the file. Whether the file is only accessible to explicit users, or is readily accessible to anyone.<\/li>\n<li><em>User Permissions<\/em>\u00a0allow changing a user&#8217;s permission level. A user&#8217;s permission level can be changed at any time.<\/li>\n<li><i>Remove a User<\/i> allows for the removal of a user&#8217;s share permissions for the file.<\/li>\n<li><em>Invite People<\/em> provides a field to share the file with additional users.<\/li>\n<li><em>Share Permission<\/em> settings determines whether Editors are able to share the document with other individuals or if only the Owner is allowed to share the file.<\/li>\n<li>The\u00a0<em>Done<\/em> button saves any changes made in the Advanced Sharing settings.<\/li>\n<\/ol>\n<h2><span id=\"What_is_theIs_ownerpermission_and_Why_is_it_important\">What is the\u00a0<em>Is owner<\/em>\u00a0permission and Why is it important?<\/span><\/h2>\n<p>In Google Apps for Work or Google Apps for Education, ownership of a file can be transferred between individuals within the domain (i.e. emails containing @gmail.com at the end).\u00a0<em>Only the owner of a file can delete the file from Google Drive<\/em>. Transferring ownership is only found within the Advanced Settings and\u00a0<em>ownership can only be given<\/em>. Once ownership is given away, the original owner can not take it back unless the new owner transfers it. In a business or school environment, this process allows for easy transfer of Google Drive files for change management of personnel.<\/p>\n<h2><span id=\"What_is_File_Visibility\">What is File Visibility?<\/span><\/h2>\n<p>The visibility of a file determines how easily accessible the file is to the rest of the internet. Files uploaded or created in Google Drive are set to private by default, where only the owner and users in which the file is specifically shared with have access to it. However, there are many instances where files may need to be accessible to a larger audience such as within a business or school intranet or on a public website. Changing a file&#8217;s visibility addresses these two situations.<\/p>\n<p>If you have a regular @gmail.com account, the visibility options are as follows:\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/16-visibilityOptions.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1699 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/16-visibilityOptions.jpg\" alt=\"16-visibilityOptions\" width=\"505\" height=\"354\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/16-visibilityOptions.jpg 505w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/16-visibilityOptions-300x210.jpg 300w\" sizes=\"(max-width: 505px) 100vw, 505px\" \/><\/a><\/p>\n<p>If you use a Google account within a business or school organization, you will see options similar to the following:\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/17-businessVisibilityOptions.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1700 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/17-businessVisibilityOptions.jpg\" alt=\"17-businessVisibilityOptions\" width=\"507\" height=\"455\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/17-businessVisibilityOptions.jpg 507w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/17-businessVisibilityOptions-300x269.jpg 300w\" sizes=\"(max-width: 507px) 100vw, 507px\" \/><\/a><\/p>\n<p>The main difference is the additional tier of options to publish the file within the organization. Just as with individual user sharing, these options are adjustable at any time.<\/p>\n<h3><span id=\"Using_the_Getshareablelinkicon\">Using the <i>Get\u00a0shareable\u00a0link<\/i>\u00a0icon<\/span><\/h3>\n<p>The first pop-up that appears after clicking a files\u00a0<em>Share<\/em> icon includes a\u00a0<em>Get shareable link<\/em> icon that is a shortcut to the file visibility settings.\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12a-getSharableLink.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1694 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12a-getSharableLink.jpg\" alt=\"12a-getSharableLink\" width=\"538\" height=\"260\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12a-getSharableLink.jpg 538w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12a-getSharableLink-300x145.jpg 300w\" sizes=\"(max-width: 538px) 100vw, 538px\" \/><\/a><\/p>\n<p>Clicking this icon will change the file visibility to\u00a0<em>Anyone with the link<\/em>\u00a0AUTOMATICALLY. This setting can be a large security risk for sensitive files within an organization. A new menu will appear in the pop-up to adjust this setting if necessary.\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12c-linkMenu.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1696 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12c-linkMenu.jpg\" alt=\"12c-linkMenu\" width=\"539\" height=\"407\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12c-linkMenu.jpg 539w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/12c-linkMenu-300x227.jpg 300w\" sizes=\"(max-width: 539px) 100vw, 539px\" \/><\/a><\/p>\n<h2><span id=\"How_to_Change_Who_can_Share_the_file\">How to Change Who can Share the file<\/span><\/h2>\n<p>By default, Editors and Owners of a file will be able to share a file in Google Drive. However, there are several situations where the owner may want to prevent Editors from sharing a file. there is a small link below the\u00a0<em>Invite People<\/em> options of the Advanced Sharing settings (G) that can change this setting. Once the &#8220;Change&#8221; link is clicked the following options appear:\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/11-editorSharingSettings.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1693 size-full\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/11-editorSharingSettings.jpg\" alt=\"11-editorSharingSettings\" width=\"508\" height=\"262\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/11-editorSharingSettings.jpg 508w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/11-editorSharingSettings-300x155.jpg 300w\" sizes=\"(max-width: 508px) 100vw, 508px\" \/><\/a><\/p>\n<h2><span id=\"How_to_Prevent_Users_from_Downloading_or_Printing_a_File\">How to Prevent Users from Downloading or Printing a File<\/span><\/h2>\n<p>By default, any file that is accessible with <i>Can view<\/i> permissions allows users to download or print a copy of the file. In certain situations, the owner may want to remove these options. In Google Drive, simply select the desired file (A), click on the\u00a0<em>details<\/em> icon in the header (B), scroll to the bottom of the details (not activity) and check the <i>Prevent viewers from downloading<\/i> option (C).<img loading=\"lazy\" class=\"aligncenter size-large wp-image-1701\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/18-preventUserDownload-1024x512.jpg\" alt=\"18-preventUserDownload\" width=\"1024\" height=\"512\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/18-preventUserDownload-1024x512.jpg 1024w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/18-preventUserDownload-300x150.jpg 300w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/18-preventUserDownload.jpg 1280w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/p>\n<h1><span id=\"How_to_Share_Files_from_Google_Drive_in_Gmail\">How to Share Files from Google Drive in Gmail<\/span><\/h1>\n<p>When composing a message in Gmail, the options in the menu includes a Google Drive icon to access files in Google Drive.\u00a0<img loading=\"lazy\" class=\"aligncenter size-full wp-image-1702\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/19-gmailAttach.jpg\" alt=\"19-gmailAttach\" width=\"509\" height=\"477\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/19-gmailAttach.jpg 509w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/19-gmailAttach-300x281.jpg 300w\" sizes=\"(max-width: 509px) 100vw, 509px\" \/><\/p>\n<p>When this option is selected a pop-up of the content of Google Drive appears. It is possible to include the file from Google Drive as a hyperlink to the file, or attach a copy of the file to the message. First select the desired file (A), then select whether the file will be accessed as a\u00a0<em>Drive link<\/em> or an At<em>tachment<\/em>. Finally, click the\u00a0<em>Insert<\/em>\u00a0button (C).\u00a0<img loading=\"lazy\" class=\"aligncenter size-full wp-image-1703\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/20-selectFile.jpg\" alt=\"20-selectFile\" width=\"867\" height=\"537\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/20-selectFile.jpg 867w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/05\/20-selectFile-300x186.jpg 300w\" sizes=\"(max-width: 867px) 100vw, 867px\" \/><\/p>\n<p>If the\u00a0<em>Drive link<\/em> option is used, the file will appear in the body of the message as a hyperlink.<\/p>\n<p>If the file is not appropriately shared to recipients of the email, a pop-up will appear to set the sharing permissions.\u00a0<strong>The default of this pop-up is to share the file PUBLICLY<\/strong>.
