Cascading Permissions<\/span><\/h3>\n<p>When sharing a folder, the share permissions of the folder will cascade into its files and sub-folders. If you share a folder as &#8220;Can view,&#8221; the recipient will only be able to view the files; if you share a folder as &#8220;Can edit,&#8221; they will be able to make changes to any file within the folder.\u00a0<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/09-cascadingWaterfall.jpg\"><img loading=\"lazy\" class=\"aligncenter size-large wp-image-1875\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/09-cascadingWaterfall-1024x502.jpg\" alt=\"09 - cascadingWaterfall\" width=\"1024\" height=\"502\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/09-cascadingWaterfall-1024x502.jpg 1024w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/09-cascadingWaterfall-300x147.jpg 300w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/09-cascadingWaterfall.jpg 1053w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/a>\u00a0ASIDE: It&#8217;s called cascading much like water cascades down a waterfall.<\/p>\n<h3><span id=\"2_Granting_edit_privileges_to_the_Folder_allows_editors_to_ADD_and_REMOVE_files_from_the_folder\">2. Granting edit privileges to the Folder allows editors to ADD and REMOVE files from the folder<\/span><\/h3>\n<p>During many Google Drive training sessions, one of the most common questions revolving Google Drive is the difficulty in finding files in Google Drive. Users will share or be shared a folder and not be able to find files afterwards. Many of these issues revolve around sharing Folders with the &#8220;Can edit&#8221; permission. This inability to find files in Google Drive has lead to the new option to &#8220;Locate in Google Drive&#8221; files that were searched for.<\/p>\n<p>When a folder is shared with &#8220;Can edit,&#8221; editors are able to choose which files appear in the folder. In other words, they are able to change the file structure within the folder. Therefore, if they choose to move a file out of the folder, no-one else who can see the folder will have access to that file. In fact, if you share a Google Drive folder with &#8220;Can edit&#8221; privileges to someone and they move files out of the folder, you will have difficulties finding the file afterwards because those files will not be indexed in your folders.<\/p>\n<p><a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile.jpg\"><img loading=\"lazy\" class=\"aligncenter wp-image-1877 size-large\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile-1024x361.jpg\" alt=\"11 - movedFile\" width=\"1024\" height=\"361\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile-1024x361.jpg 1024w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile-300x106.jpg 300w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile.jpg 1280w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/a>In\u00a0the above example, tnsuser04 moved File4 into his\/her My Drive from the shared Documents folder. Subsequenctly, all other users no longer had access to File4.<\/p>\n<p><a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/11-movedFile.jpg\">T<\/a>o find those files again, the you would need to first search for the file and then move it to a folder. \u00a0Searching for a file includes typing in keywords in the search bar (A) to find the file, select the file (B) and then clicking on the &#8220;Add to My Drive&#8221; icon in the menu (C).<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/12-searchForMissingFiles.jpg\"><img loading=\"lazy\" class=\"aligncenter size-full wp-image-1878\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/12-searchForMissingFiles.jpg\" alt=\"12 - searchForMissingFiles\" width=\"863\" height=\"304\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/12-searchForMissingFiles.jpg 863w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/12-searchForMissingFiles-300x106.jpg 300w\" sizes=\"(max-width: 863px) 100vw, 863px\" \/><\/a><\/p>\n<p>&nbsp;<\/p>\n<p>To avoid this confusion, share folders with the &#8220;Can view&#8221; permission level. If a folder is shared with a user as &#8220;Can view,&#8221; the viewers will not be able to edit which files appear in the folder. They will only be able to manipulated the folder in its entirety. Editing privileges can be granted to individual files after the folder itself has been shared.<\/p>\n<h3><span id=\"3_Folder_permissions_do_not_change_pre-determined_file_permissions_UNLESS_it_grants_higher_editing_privileges\">3. Folder permissions do not change pre-determined file permissions UNLESS it grants higher editing privileges<\/span><\/h3>\n<p>If individual files within a Google Drive folder already have file permissions, sharing a folder as &#8220;Can view&#8221; will not change those file permissions. However, if the folder is shared with &#8220;Can edit,&#8221; the folder permissions will cascade into all the files within and change them all to &#8220;Can edit.&#8221; However, the user can then go into the individual files and change the permissions afterwards.<a href=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/13-differentShare.jpg\"><img loading=\"lazy\" class=\"aligncenter size-full wp-image-1879\" src=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/13-differentShare.jpg\" alt=\"13 - differentShare\" width=\"773\" height=\"286\" srcset=\"https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/13-differentShare.jpg 773w, https:\/\/blog.technerdservices.com\/wp-content\/uploads\/2015\/06\/13-differentShare-300x111.jpg 300w\" sizes=\"(max-width: 773px) 100vw, 773px\" \/>I<\/a>n the above image, if this folder was then shared as &#8220;Can view,&#8221; none of the individual file permissions would change. However, all \u00a0would become &#8220;Can edit&#8221; if the folder is shared with &#8220;Can edit&#8221; privileges.<\/p>\n<h1><span id=\"Final_Words\">Final Words<\/span><\/h1>\n<p>Google Drive revolutionizes file management by adding features and storing files on the cloud. However, with the ever growing list of features Google Drive and other cloud storage options provide, the need to better understand file permissions becomes more evident. Whether it is accidentally sharing a spreadsheet of employee salaries to the entire company or thinking that you have shared a folder, but did not. Simple errors within Google Drive and other cloud storage and sharing systems can lead to hours of time wasted in correcting those errors.
